Supply Scheduler will act as a subject matter expert and will have a focus on scheduling activities in import channel mainly dominated by cargo supplies. In consistence with local requirements and Shell HSSE standards, scheduler will be responsible from the execution of the import plan made by Channel Optimisers and will ensure optimum operational feasibility at the supply chain. He/She provides professional oil and freight scheduling & operations services to Channel Optimisers, in the import channel, for all products (AGO, MOGAS, Jet, Fuel Oil, LPG, Jet) . He/She also supports the customs clearance process of the operation of additives when necessary.

Scheduler should maintain the optimum execution of the detailed supply plan ensuring feasibility with a commercial mind-set where CSO feasibility, BLG liabilities, demurrage and exposure are directly impacted by his/her operational performance. He/She should work very closely with Channel Optimization Team (Channel Optimisers and Logistic Deal Maker), Hydrocarbon Dealmaker, Product Quality Manager and 3rd Party sellers (including shell traders and trading operations) to ensure best class execution and improved deal/channel optimisation with a cross product approach.

The desk is also responsible for the E2E orchestration of the customization process for all fuels (when necessary for additives as well) which requires very close, regular and effective communication with custom agents and where underperformance may lead to severe supply disruptions together with significant financial impacts on demurrage and BLG liabilities.



An effective communication is essential with PQ, Compliance, Finance desks.
Close liaison with Traders, Channel Optimisers, HCDM and terminals is required to ensure the supply-chain is kept feasible in the most cost efficient way and all contractual and operational obligations arising from the contracts are carried out.
By working as part of the Products Team, the incumbent must:

  • Execute supply plans made by channel optimisers for all products in import channel scheduling & operating import supplies in coordination with STAS, JV, OSP and 3rd party terminals.
  • Ensure operational feasibility in day-to-day with continuous feasibility feedbacks to Channel Optimization Team
  • Co-ordination of loading/discharge of sea-going vessels and the handling of cargo documents from refinery and storage locations
  • Contractual and operational support to Channel Optimization Teamand Hydrocarbon dealmakers.
  • Play an active part in the planning process, contributing with information and feedback about logistical constraints and opportunities
  • Close liaison with traders, dealmakers, optimizers, other schedulers and ops desks of 3rd party sellers/buyers.
  • Liaise with source refineries, terminals, exchange partners, terminals and multiple COB’s to ensure replenishments are accomplished optimally when the need to react to both internal and external events occurs.
  • Capture non-conformance, supply, quality and HSSE incidents.
  • Ensure that all obligations arising from the contract/charter party are carried out
  • Ensure nomination errors are cleared and processed within KPI time constraints
  • Ensure cargo nominations are sent accurately on time. Prepare and send voyage orders when required and monitor progress of vessels. Hold an open communication with counterparties within terminals, and 3rd parties.
  • Monitor and follow-up the G/L of the HC purchases (for cargo loadings/discharges).
  • Seek to add value by exercising embedded commercial and logistical deal options and by a pro-active approach to problem solving
  • Deal with oil and freight counter parties, terminals and vessels on a regular basis regarding all post-deal activities ensuring all necessary operational information is passed on in good time and documentary requirements are met
  • Appoint independent inspectors, expeditors and ships agents.
  • Ensure that all data pertaining to cargo or voyage claims/demurrage are recorded to enable efficient handling of the claims by TSP department.
  • Minimize demurrage costs and BLG liabilities due to import operations. Work closely with Finance/Tax departments.
  • Support Channel Optimization Team to avoid supply disruption, minimize cost/exposure with a commercial ops execution.
  • Administration tasks such as stock accounting, monthly reconciliation are also part of this function.
  • Authorise payment of invoices for the area of individual responsibility.
  • Process requisitions in Hydrocarbon Management Systems as the area of individual responsibility requires.
  • Act as a focal point in TSP for marine operations working very closely with MTAs to ensure compliant marine operations across the board.
  • Hold the operational contact with custom agents for the whole fuel import process to ensure compliant and efficient customization working closely with customs advisor.

Required Qualifications

 

Fluent in Business English, written and oral

Relevant experiences in any supply, distributions or trading operations.

He/She needs to demonstrate good interpersonal skills and the ability to work with multiple parties.

The incumbent will need to be able to handle multitude of competing priorities, tight timeline and make decisions amidst ambiguity.


He/She requires the ability to understand key elements of supply chain and operations, scheduling and transportation, execution of contracts.
