The Planner/scheduler provides detailed plans, estimates & schedules for Pit Stop events. This role assures all scope items are included in the plan and the estimated cost of the job is accurate. The Planner/scheduler is also responsible for defining tasks, ordering materials and developing a detailed field package needed to properly execute the job on time and on budget.
Planning and Estimating 
  • Work with Owner and Discipline Reps to compile work list of all work associated with the job
  • Build an estimate of the compiled work list
  • Issue Job Authorization Form to get approve to plan and execute job
  • Build plan for the total job in MM work package
  • Coordinate the ordering of long delivery items and track their delivery
  • Work CRB to ensure proper contractor selection
  • Develop bids, contracts and purchase orders necessary for contractor services and work at outside shops
  • Prepare material lists, including consumables, tool rentals, ordered material
  • Provide planning, resources and material support for developmental work during field execution
  • Develop accurate schedule for job execution in Primavera.
  • Develop GSAP WBS and set up GSAP work orders for Pit Stops
    • Work with coordinators to maintain a real time accurate schedule during execution of pit stops
    • Refresh the job schedule as needed to reflect developmental work and other issues that affect job progression
    • Establish critical path for each event
    • Support execution by providing daily schedule updates and look ahead reports from primavera
Job Cost Tracking
  • Review outstanding purchase orders with Major Maintenance cost tracking team to determine status and close out
  • Assure job tickets are closed when work is complete
  • Fill out SOFA forms with correct information and have cost tracking team distribute forms accordingly
  • Attend purchase order review meetings and validate charges
Work Package  
  • Build a field work package per the Pit Stop work process, including blinding , decontamination and commissioning activities
  • Assure execution plan includes set up of  equipment needed to meet all site HSE requirements and ensure job can be executed safely  (i.e. trash cans, eye / hand wash stations, smoking pins,  lighting for nights, containment for rental equipment)
  • Assure all technical instructions (CAIRS, MOC, drawings, MSDS) and procedures are included in the package
  • Issue package to Coordinator and review job execution details
  • Develop electronic work packages for each pit stop job and store in the pit stop folder
Job Preparation and Materials 
  • Assure HSE related equipment is available when job starts (i.e. trash cans, eye / hand wash stations, smoking pins, lighting for nights, containment for rental equipment)
  • Track delivery of long lead items and ensure they will arrive on time.
  • Track equipment repairs at outside shop on to assure repairs will meet cost and delivery targets
  • Orders material from vendors, stock materials from the warehouse and rental equipment
  • Sets up storage to receive material for job. (material marshalling)
  • Order rental equipment
  • Verify that outside services will be available as planned.
  • Correct any issues found in BOM or stocked items
  Team Membership 
  • Attend Pit Stop Staff and appropriate Functional Work Team meetings to share cost / schedule data and to help resolve issues with jobs being worked
  • Keep the Teams informed of job progress and current cost data
  • Maintain Major Maintenance spreadsheets (work list, progress, cost, process, allocation, etc.)
  • Must be willing to work extended hours, nights & weekends as business needs dictate
