Are you a professional executive assistant who flourishes in supporting multiple executives? Reporting to the vice president, talent, Human Resources (HR) and the general manager, labour and employee relations, you will provide strategic administrative support, coordination, organization and information management to two senior level executives.


  • Manage and schedule the Outlook calendar, inbox, events, tasks and contacts and strategically plan, schedule and track all necessary information
  • Maintain a high level of organization and prepare in advance for meetings and events (confirm participant availability, develop agendas, ensure timely availability of pre-reads and meeting material, briefing notes, presentations and general correspondence writing)
  • Maintain a close working relationship with the executive to plan travel throughout the year, making sure the travel aligns with meetings and other events
  • Handle all interactions including in-person meetings, teleconferences or video conferences and distribute all related materials including agendas, support documents and pre-reads
  • Process payment requests (memberships, subscriptions, cheque requests, personal business expenses) and prepare and submit monthly Visa statements
  • Provide back-up coverage for other HR executive assistant's

Required Qualifications

 
  • 10 years of overall work experience in a similar role
  • Five or more years as a senior administrative assistant or executive assistant with experience handling executives’ schedule, large amounts of information and multiple priorities
  • SAP and Livelink experience preferred (workflows, shopping carts, Livelink permissions and collaboration rooms)
  • Experience working with multiple stakeholders would be beneficial
  • High school diploma or General Education Diploma (GED)

  • Strong understanding of Microsoft Office Suite, especially Outlook
  • Knowledgeable in setting up, booking and troubleshooting video and Lync conference meetings
  • Deep understanding of administrative policies and procedures and general business operations
  • Excellent time management skills, enthusiasm and are well organized with the ability to retrieve information and past decisions quickly
  • Consistent demonstration of a collaborative work style, adaptable to change and ability to work in a dynamic environment
  • Self-starter able to anticipate requirements and action accordingly to ensure timely results
  • Proven understanding of the requirement and need for discretion and confidentiality
  • Exceptional relationship builder with internal and external parties at all levels
  • Able to work independently, and a strong collaborator and teammate

  • This position is based in Calgary, Alberta at the Suncor Energy Centre
