Job ID

  • Manage the team’s office, optimizing time, communications, and resources to enable efficiency and effectiveness
  • Manage the team’s schedule proactively, using mature judgment and discretion to assess priorities and resolve conflicts
  • Monitor correspondence coming to the leadership team and prioritize, redirect and follow-up as needed
  • Cultivate and maintain collaborative relationships with leadership members, other EAs, refinery teams, external contacts, and others as necessary to facilitate the demands of the office/business
  • Assist in coordinating and implementing off-sites, town halls and other events
  • Assemble materials to prepare the leadership team for meetings and events
  • Coordinate travel, compile and submit expense reports, and handle ad hoc requests

Required Qualifications


Must-haves (minimum requirements):

  • 10 years of senior administrative or EA experience, with experience handling executives’ schedule, large amounts of information and multiple, competing priorities 
  • A High School Diploma or General Education Diploma (GED)
  • High proficiency in the Microsoft Office 365 suite
  • A deep understanding of administrative policies and procedures and general business operations
  • A highly developed sense of judgment, diplomacy and discretion to deal with sensitive and confidential personnel and business matters that have an impact across the organization
  • A high regard for collaboration, internal and external relationship building and strong communication skills, in order to work cross-functionally in order to carry out accountabilities, recommend solutions and implement continuous improvement opportunities
  • Excellent time management skills, are proactive, enthusiastic and well organized, with the ability to retrieve information and make decisions quickly
  • Alignment with our values

Preference for:

  • An office administration diploma, degree or equivalent education
  • Comfortability in SAP and Livelink (e.g. workflows, shopping carts, Livelink permissions, and collaboration rooms)

Where you’ll be working, your work schedule, and other important information:

  • You will work out of our Edmonton refinery in Sherwood Park, located at 801 Petroleum Way
  • Hours of work are a regular 40-hour work week, Monday to Friday, with the potential for extended work hours based on business needs
